Thank you for becoming a vendor at our 6th Annual Rockwall Rubber Duck Regatta.
Vendors should be open for business by 10:00 a.m. until as late as 10:00 pm on Saturday, September 16th.
WHERE: The Rockwall Rubber Duck Regatta will be held at the Harbor in Rockwall, Texas. Best physical address for the venue is 2055 Summer Lee, Rockwall, TX 75032. (This is the Hilton Rockwall)
Our setup will take some time and some tricky maneuvering. Please come with that understanding and we will do our very best to get everyone in and set up as quickly as we can. We will have volunteers on hand to assist you in unloading your vehicle. Late arrival may result in you not being able to reach your assigned location. If late, we will do our best to accommodate you however your location may not be ideal within the venue and access to water and power may not be available.
MOVE IN: All move in will be initially coordinated from the vendor check-in area at the rear of the Hilton Hotel. Setup times are subject to change and email notification will be sent accordingly if time allows.
Setup will begin on Saturday, September 16th at 6:00 AM. Please unload and remove your vehicle from the venue before setting up for the day.
Food vendors and Non-Food vendors with booth numbers 1 through 25 are asked to come between 6:00 AM and 7:00 AM. Non-food vendors with booth numbers 1 through 25 will need to walk items to the booth locations.
If you intend to load from your vehicle in front of your booth space, please make plans to arrive on Saturday, September 16th at the staging area with ample time to allow for your setup and potential delays. Vendor vehicles will not be allowed into the area until traffic allows.
NOTE: THE LAST VEHICLE TO ENTER THE VENUE WILL BE 9:00 AM EVEN IF YOU ARE IN LINE WAITING.
All vehicles shall be out of the venue area by 9:30 AM.
SPACE ALLOCATION: Due to space constraints, vendors must fit within the booth area, 10 x 10. Awnings, signage, merchandise tables, etc. must be within the footprint of the total booth area. If you do not fit within the requested area, you will be asked to modify your layout to fit within the space constraints, or lose your vendor space.
TEAR DOWN: Tear down will not begin until 10:00 pm on Saturday ,vendor vehicles will not be allowed into the area until traffic allows for otherwise. Be sure to have your entire booth torn down before driving into the venue for loading. You must be out of event location by 12:00 a.m. (Midnight) Saturday, September 24th.
WEATHER: Rockwall Rubber Duck Regatta is an outdoor event and will be held rain or shine.
ELECTRICITY: Electricity needs should have been indicated on your application. You will need to provide your own extension cords.
WATER: You will need to bring your own hoses or other method to obtain water from source. There are 3 water outlets located adjacent to the food court area for your use at anytime. A gray water holding tank will be available in the area. You are responsible for transporting gray water from your booth to the holding tank.
SECURITY: Official event security will be provided. However, Rockwall Rubber Duck Regatta is not responsible for lost or stolen property.
VENDOR OVERNIGHT ACCOMMODATIONS: On the website www.rockwallduckrace.org you will find listings of hotels, motels and campsites. No on-site camping allowed.
TRASH: Trash cans will be provided throughout the venue. EACH VENDOR IS RESPONSIBLE FOR THEIR OWN TRASH.
PLEASE REMEMBER: Trash pickup is everyone’s responsibility.
PROBLEMS: If you have any problems or questions during the event, there will be several staff members available to assist you. Look for the purple and yellow “Quack Shack” tent for any needed assistance.
