Vendor Load In Instructions

Please see below for instructions regarding Vendor Load in. There are two sections: Harbor Area Vendors & Jeep Zone Vendors. Each have different instructions. These were also send to the email address on file.

HARBOR AREA VENDORS

We’re excited to have you on board for the 2024 Rubber Duck Regatta and Jeep Festival, happening on October 12, 2024, at the Rockwall Harbor! Get ready for a day of fun, ducks, and Jeeps- all benefitting the Boys & Girls Clubs of Northeast Texas & the Rockwall Grace Clinic.

Important Vendor Information:

Please read this entire email to ensure everything runs smoothly!
Please check your email for a message titled “URGENT: Sign Vendor Liability Release for Rubber Duck Regatta and Jeep Festival” to sign the liability release if you have not yet. Failure to do so could result in being turned away at the event.

Accept the calendar invite (coming soon) for your specific load-in time. Those who do not accept the calendar invite will receive a call to confirm.
Friday, October 11^th- Food Vendor Load-In is from 10AM-3PM
Saturday, October 12^th – Vendor Load-In is from 6:30AM to 9:00AM (details below).

Event Location:
The event is at Rockwall Harbor, 2055 Summer Lee, Rockwall, TX 75032 (next to the Hilton Rockwall). Vendor load-in will be on the Hilton side, closest to the condos (see map below)

Load-In Guidelines:

The Harbor can be tricky for vehicle access, so be prepared to be PATIENT and to unload quickly and on your own.
Please arrive ON TIME. Arriving late may result in limited access to power, or a less-than-ideal spot. Arriving early may result in you being sent to the back of the line.
Please unload your vehicle, promptly move it to the designated parking area, and then return to set up your booth. Important: Do not begin setting up until your vehicle has been fully removed from the unloading zone.
All load-in activities will be coordinated at the vendor check-in area, located at the rear of the Hilton Hotel. Keep an eye on your email for any time updates.

Setup:

Make sure your setup fits within your requested 10x10 spot. Awnings, signs, and tables should stay within that space. Vendors should be open by 10AM.

Friday Load In-Schedule- FOOD VENDORS ONLY

Please load in anytime between 10AM-3PM

Saturday Load-In Schedule- HARBOR AREA VENDORS

6:30 AM: Any remaining Food Vendors
7:00 AM: Premium Vendors & Spots 15-19
7:30 AM: Spots 20-25
8:00 AM: Spots 26-30
8:30 AM: Spots 31-35
9:00 AM: Spots 36-54

IMPORTANT: The last vehicle will be allowed into the venue at 9:00AM, even if you are still in line. All vehicles must be out of the venue area by 9:30AM.

Tear-Down:

Tear-down begins at 5:00PM on Saturday, and vendor vehicles can only enter when it’s safe to do so.
Do not bring your vehicle into the Harbor until you are fully packed up and ready to load out.
Please be patient as only a certain number of vehicles will be allowed in the area at a time.
Food vendors- please note that you will be the last ones allowed to load out.

Additional Information:

Weather: This is a rain-or-shine event! We’ll notify you of any weather changes.
Electricity: Available for those who purchased it. Don’t forget your extension cords!
Security: We are not responsible for lost or stolen items.
Accommodations: No camping on-site. If you need a hotel, visit www.rockwallduckrace.org for local options.
Trash: Vendors are responsible for their own trash.
